At Himalyan Exposure Tours and Treks, we value your trust and strive to make every journey memorable. Our refund policy is designed to be clear, fair, and easy to understand. Please read the following sections carefully to know how and when refunds apply.

2. Scope of This Policy

This policy covers bookings for:

  • Guided tours
  • Trekking packages
  • Adventure activities
  • Customized travel itineraries

Bookings made through our website, email, phone, or office visit all follow the same refund rules.

3. Payment Methods

We do not collect payment directly on our website or store payment card details. Accepted payment options:

  • GPay (Google Pay)
  • Bank Transfer
  • Cash payment at our office in Dentam West

4. Booking Confirmation

A booking is confirmed when:

  1. You complete the booking form with your details (name, email, age, gender, country, complete address).
  2. We send you a confirmation email.
  3. You pay the required deposit or full amount via one of the accepted methods.

5. Cancellation & Refund Terms

5.1 Customer-Initiated Cancellations

  • More than 30 days before departure: Full refund of deposit or payment, minus a ₹500 administrative fee.
  • 15–30 days before departure: 50% refund of total package cost.
  • Less than 15 days before departure: No refund.

5.2 Company-Initiated Cancellations

If we cancel your trip due to:

  • Insufficient bookings
  • Force majeure (natural disasters, government restrictions, political unrest)
  • Operational issues

You may choose:

  • Full refund of all payments, or
  • Credit note of equal value, valid for 12 months from issue date.

5.3 Partial Services or Early Returns

If you leave a tour early or miss part of a package, refunds are prorated based on unused services, minus a ₹500 administrative fee.

6. How to Request a Refund

  1. Email us at info@exploresikkimnow.com with:
    • Booking reference number
    • Full name
    • Reason for cancellation
  2. Attach proof of payment or transaction details.
  3. Allow up to 14 business days for processing your request.

7. Processing Time

  • Initial acknowledgment: Within 2 business days.
  • Refund completion: Within 14 business days after approval.

Refunds are issued via the original payment method:

  • GPay refunds to your linked account.
  • Bank transfers back to the originating account.
  • Cash refunds at our Dentam West office (appointment required).

8. No-Show Policy

Failure to join the tour without prior cancellation notice is considered a “no-show.” No refund is issued in this case.

9. Changes & Amendments by You

Changing dates, itinerary, or participant names may incur fees:

  • Date/Itinerary changes: ₹1,000 per booking, subject to availability.
  • Name changes: ₹500 per participant.
    All changes must be requested at least 15 days before departure.

10. Data Privacy & Usage

  • We collect your name, email, age, gender, country, and address solely for booking and communication.
  • We do not store or process credit/debit card details.
  • Review and comment forms on our website require an email, but it remains private and unpublished.
  • We do not sell or share your data for marketing, unless mandated by government agencies.

11. Dispute Resolution

In case of any dispute, please contact us at info@exploresikkimnow.com. We will work with you to resolve issues amicably. If unresolved, disputes are subject to the jurisdiction of courts in Sikkim, India.
